Privileged Template Pricing Fields in InfoFlo Print: Control Sensitive Pricing Data

In every print shop, certain numbers are meant to stay internal—like margins, markups, and behind-the-scenes cost formulas. As your team grows, keeping that information restricted to the right people becomes even more important.

InfoFlo Print’s new Privileged Template Pricing Fields feature gives print shops complete control over who can view sensitive pricing data across orders, templates, dockets, and PDFs. Whether you want only administrators to see margin calculations or prefer stricter permission separation between roles, this capability ensures your pricing strategy stays secure.

In this blog, we’ll break down how the feature works, why it matters, and how it helps you manage visibility across your entire workflow.

Why Privileged Pricing Fields Matter

Many print shops include advanced formulas inside product templates. These calculations might include:

  • Margin values

  • Cost breakdowns

  • Internal markups

  • Adjusted pricing formulas

While these fields are valuable internally, they shouldn’t be visible to every team member—especially sales roles or external-facing staff.

The new Privileged Template Pricing Fields feature solves this by letting administrators mark any field as “Privileged” and control access based on user roles.

Setting Permissions: Who Can View Sensitive Fields?

InfoFlo Print now includes a permission called View Privileged Template Pricing Fields inside the User Roles settings. This control determines which roles can see protected pricing information.

When the Permission Is Disabled

Users cannot view any privileged fields. They won’t see them in:

  • Order creation

  • Order details

  • PDFs

  • Dockets

  • Invoice previews

The system still evaluates the formulas in the background, but the user sees nothing—keeping sensitive data secure.

When the Permission Is Enabled

Users gain full visibility across the system. Privileged fields appear:

  • On templates

  • During order creation

  • In PDFs

  • On dockets

  • Inside order details

This flexibility allows print shops to tailor visibility based on responsibility.

Marking Template Fields as Privileged

Applying privileged status to a field is simple and can be done for any field type inside a product template.

To mark a field as privileged:

  • Go to Products → Edit Product Template

  • Open Advanced Options for the field

  • Find the Privileged dropdown

  • Set it to Yes

  • Save

Once done, only users with the appropriate role permissions will see that field anywhere in the system.

What Administrators See vs. What Restricted Users See

Administrators or Privileged-Enabled Roles

These users see everything:

  • Margin fields

  • Cost breakdowns

  • Privileged formulas inside PDFs

  • Privileged data inside dockets

  • Full visibility in order details

If a field is marked as privileged, it still appears normally to them.

Salespeople or Other Restricted Roles

These users see none of the privileged fields:

  • No privileged data inside order creation

  • No margin formula on order details

  • No privileged values in PDFs

  • No privileged fields in dockets

Even if a salesperson creates an order, the privileged fields remain hidden unless their role is updated.

Privilege Behavior on Existing Orders

If a restricted user views an order—whether they created it or not—privileged fields remain invisible everywhere.

Administrators, however, can always open the same order and view full pricing details, including formulas and internal calculations.

This ensures:

  • Sensitive data stays protected

  • Only authorized staff access confidential pricing info

  • Existing orders remain secure regardless of who created them

Why Print Shops Benefit From This Feature

The Privileged Template Pricing Fields feature brings powerful advantages:

✔ Better Control Over Sensitive Data

Limit what your team sees based on responsibility.

✔ Stronger Internal Pricing Security

Margin and cost calculations stay locked down.

✔ Cleaner Interface for Sales Roles

Salespeople only see information relevant to their workflow.

✔ Consistent Visibility Across Templates, Orders, and PDFs

No risk of accidentally exposing pricing details.

Conclusion

Controlling who sees your pricing strategy is essential for maintaining margins and keeping internal calculations secure. InfoFlo Print’s Privileged Template Pricing Fields give you the flexibility to protect sensitive data while keeping your team productive.

Whether you’re refining pricing workflows or strengthening role-based permissions, this feature ensures your print shop maintains full control over its internal financial data—exactly where it matters.
